Job Summary:
The Accounting/Admin Staff will be responsible for supporting both accounting and administrative functions within the company. This role requires a detail-oriented individual who can handle financial record-keeping, document management, and other administrative tasks in a timely and accurate manner. The ideal candidate will be proactive, organized, and have the ability to work well under pressure.
Key Responsibilities:
- Maintain accurate financial records, including bookkeeping and data entry into accounting software.
- Process invoices, receipts, and other financial documents.
- Assist in the preparation of monthly financial reports, balance sheets, and income statements.
- Help with the reconciliation of accounts, including bank statements and accounts payable/receivable.
- Prepare payroll and assist with other HR-related transactions.
- Assist in tax filing and other regulatory compliance tasks.
- Manage and organize physical and digital files, ensuring all documents are up-to-date and properly stored.
- Assist with scheduling meetings, appointments, and events as required.
- Handle incoming calls, emails, and inquiries from clients, suppliers, and staff.
- Prepare reports, presentations, and correspondence as directed by supervisors.
- Assist in office supply management and inventory control.
- Ensure the smooth flow of communication between departments and external contacts.
- Help in coordinating office activities and events.
- Assist in managing office logistics, such as arranging deliveries or office repairs.
- Monitor and manage departmental budgets and expenses to ensure adherence to financial guidelines.
- Perform other duties as assigned by supervisors to support overall business operations.
Qualifications:
- Bachelor’s degree in Accounting, Business Administration, or a related field.
- Previous experience in accounting or administrative support (3 years experience is required)
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with accounting software (QuickBooks, Xero, or similar).
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Ability to multitask and work under minimal supervision.
